Purchases and treasury

Purchasing: from supplier order to paid invoice

Purchasing goes on elsewhere: the order in an email, the invoice in a PDF that someone types in and a payment nobody knows was made.

The order is sent to the supplier by email from the application. When the goods arrive, they go into the warehouse; if they come in several deliveries, each one is recorded and what was received is invoiced. Supplier invoices are uploaded as PDF or photo and read with AI, and payments are recorded from their record or reconciled with the bank.

  • Supplier invoices read from the PDF, the photo or the Facturae XML (scanning module)
  • Up to 50 invoices at once, reviewed before they are recorded
  • Batches of supplier transfers (Norma 34)
  • Journal export with sales, purchases, collections, payments and cash

Questions about invoicing

I made a mistake on an issued invoice, can I delete it?

No: an issued invoice cannot be deleted, and with VeriFactu it cannot be edited either. It is corrected with a corrective invoice, linked to the original and with its reason.

Why does an invoice have no number?

Because it is still a draft. The number is assigned when it is issued, so that there are no gaps in the series. Each branch has its own series.

Can I pass the accounts to my accountant?

Yes. The accounting export generates the journal with sales, purchases, collections, payments, cash and the bank entries, for Contaplus, Sage, A3 or Holded.

How do I collect direct debit fees?

With a SEPA batch: you choose the bank, the charge date and the direct debit invoices, and download the file (Cuaderno 19) to upload to your online banking. If the bank returns a debit, you mark it as returned and the invoice goes back to pending.
